How to handle incidents from first notification to claim closure — evidence capture, reporting timelines, third-party management and the data that reduces.

The cost of a fleet collision is decided in the first hour. Evidence captured at the scene, and a notification that reaches the insurer quickly, are worth more than anything that happens afterwards.

The first hour

The driver's priorities, in order:

  1. Safety. People first, then making the scene safe, then the vehicle.
  2. Emergency services where required, and by law in many jurisdictions where there is injury.
  3. Exchange of details as required locally — identity, insurance, registration.
  4. Evidence capture, if it is safe to do so.
  5. Notification to the operation, immediately, not at the end of the shift.

Evidence to capture, ideally through a structured in-app incident workflow:

  • Photographs of both vehicles, all damage, from multiple angles
  • Wide shots showing the road layout, signage, road markings and conditions
  • Position of vehicles before they are moved
  • Third-party details: name, contact, registration, insurer, and the number of occupants
  • Witness details
  • Police reference where attended
  • Weather, light and road surface conditions
  • Time and precise location
Recording how many people were in the other vehicle, at the scene, is the single most effective control against inflated personal injury claims.

Notification speed matters

Insurers consistently report that claims notified within 24 hours settle for materially less than those notified later. Early notification allows the insurer to control the repair, contact the third party before a claims management company does, and gather evidence while it exists.

Practical implications:

  • A single, well-known notification route — one number, one in-app button
  • Available 24/7, staffed or with a defined out-of-hours process
  • No triage barrier for drivers; report everything, however minor
  • Automatic escalation for injury or serious damage
  • Driver notification requirement in policy, and no penalty for reporting

Fleets that penalise drivers for incidents get late notification, missing evidence and higher claim costs. The penalty costs more than it saves.

Structured incident capture

An in-app incident workflow, prompting for each element in sequence, with mandatory photographs, is substantially better than a paper form or a phone call. It ensures nothing is missed while the driver is stressed, captures location and time automatically, and delivers the report instantly to whoever manages claims.

Where video telematics is fitted, the relevant footage should be automatically preserved and attached — and preserved beyond normal retention under a hold.

Managing the claim

  • Named owner for each claim, with a review cadence
  • Claim register with reserve, status, and expected closure
  • Repair control, preferably through an approved network with agreed rates and turnaround
  • Third-party contact early, through the insurer, to avoid escalation through claims management companies
  • Credit hire challenge where third-party hire costs look disproportionate
  • Reserve challenge — insurer reserves are estimates and are frequently set conservatively; reviewing them affects premium calculations
  • Closure discipline — open claims distort loss ratios and therefore renewal terms

Using incident data

The point of good incident data is not the individual claim; it is preventing the next one.

Analyse by:

  • Incident type — reversing, junction, rear-end, parked vehicle, load-related
  • Location — specific sites, junctions and customer premises that recur
  • Time of day and day of week
  • Driver tenure — new starters are typically over-represented
  • Vehicle type
  • Route characteristics

Recurring locations are the most actionable output. A customer site that generates repeated manoeuvring incidents is a site risk assessment, a delivery procedure change or a conversation with the customer — not a series of driver conversations.

Should drivers admit fault at the scene? No, and policies should say so clearly. Drivers should exchange required details, cooperate with the authorities, and record facts — but liability determination is for insurers, who have access to evidence and legal context the driver does not.

How quickly must incidents be reported? Internally, immediately from the scene. To the insurer, within 24 hours as a target and within any period specified in your policy. Late notification can prejudice cover in some circumstances and reliably increases cost.

Do dashcams reduce claim costs? Consistently, in fleets that implement them with a process for preserving and submitting footage. The value comes from disproving liability in disputed incidents and from deterring fraudulent claims, both of which are large individual amounts.

Should minor damage be reported? Yes. Undisclosed minor damage becomes a disputed claim months later when a third party comes forward, and by then there is no evidence. Report everything and let the claims process decide what to pursue.

How do we reduce our insurance premium? Reduce claim frequency, notify quickly, control repair costs, close claims promptly, and be able to demonstrate an active safety programme with evidence. Present that evidence at renewal — insurers price on data, and fleets that arrive with their own credible data negotiate better terms.
